Booking Conditions

These are the agency terms of business (“Agency Terms of Business”) on which we, www.solotravellers.com, process a booking for your travel requirements.

When processing your booking you will automatically be entered into a contract with the provider of the travel related service including, among others, airlines, hotels, accommodation providers, transfer providers (“Suppliers”).

In completing your booking with us you are accepting both our Agency Terms of Business and the Booking Conditions.

Solo Travellers Ltd is a member of the TTA under membership number Q0841 and ATOL T7476.
Registered office,Amba House,  22 Deverills Way, Langley,   SL3 8WN.   When you make a booking with us you have 100% financial protection.

Deposits and Payments– The requested deposit must be paid at time of booking (this varies from trip to trip) and full monies are due 6 weeks before travel. Deposits are non refundable and non transferable

General terms of business
Booking details
Please ensure that all names are given as per the relevant passport. Any changes to these details will incur the amendment fees as levied by the airline or supplier.
The booking information that you provide to us will be passed on only to the relevant Suppliers of your travel arrangements or other persons necessary for the provision of your travel arrangements. The information may therefore be provided to public authorities such as customs or immigration if required by them, or as required by law. This applies to any sensitive information that you give to us such as details of any disabilities, or dietary and religious requirements.

Cancellation and Amendment by you
If you cancel or amend your booking you must advise us in writing by email. Cancellations charges are as follows:
Deposits paid for all bookings with flights on low cost airlines such as Ryanair and Easyjet will be non refundable at any time.
Other airlines and tours More than 60 days –Loss of deposit
28 to 60 days-50% or deposit if greater
0-28 days- 100%
Changes or cancellations by us
Some of our group trips require minimum numbers and if these are not achieved we have the right to cancel the trip and refund your deposit or other monies paid.

Insurance
You must have the adequate travel insurance, this is mandatory on some of the trips. The European Health Insurance Card (EHIC) only provides basic medical insurance within EU countries and is not an insurance policy.

Passports, Visas and Health
Please visit www.fco.gov.uk for general information about the passport and visa requirements for your trip. Your specific passport and visa requirements, and other immigration requirements, are your responsibility and you should confirm these with the relevant embassies and / or consulates. Neither we, nor the Supplier, accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements. Most countries now require passports to be valid for at least 6 months after your return date.

In flight meals, baggage allowance and charges
All scheduled airlines have a standard baggage allowance which is included. Allowances differ significantly from airline to airline. Where you require extra luggage allowance this will have to be added to the booking and paid for.
Certain charter airlines and low cost (no frills flight) carriers consider hold baggage to be an optional extra. The luggage allowance will be dictated by the airline in question and can again vary. Should you choose not to take any hold baggage on your trip then you will receive the standard hand baggage allowance as detailed in the airlines booking conditions.

On line check in
Please note that some no frills airlines require you to check in online. Where applicable your paperwork includes instructions regarding the online check in procedure. Failure to check in online will result in check in fees at the airport which you will be liable to pay for.

Accommodation
Sometimes your accommodation provider may need to make a change. If you have already booked we will let you know as soon as we can, if there is time before your departure.

Important
We do not accept responsibility for any expenses or costs incurred by you as a result of changes or cancellations that are due to unusual or unforeseeable circumstances beyond our control. These can include war or threat of war, riot, civil strife, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, governmental action or accommodation ceasing to be available.
All bookings made, even if arranged at the same time, are separate and independent bookings. Where your Supplier initiates a change or cancellation to a booking, your ability to cancel or change any other bookings is not affected. For example, if your accommodation booking is changed or cancelled by your Supplier, the Booking Conditions of your flight booking (including cancellation charges) will still apply, and vice versa.

Website accuracy
We endeavour to ensure that the details of all products, including prices, displayed on our websites are accurate. However, given the high volume of trips offered it is inevitable that, in exceptional cases, mistakes will arise. We cannot accept liability for these errors.

Inappropriate Behaviour
If the behaviour of any group member is deemed to be offensive, dangerous or causing damage to others, we reserve the right to terminate your holiday with the group and we will not be responsible for any expenses associated with this, nor offer a refund of unused services. We will not accept any claims for refund or compensation.

Complaints
We pride ourselves on delivering the highest standard of customer service but in the unlikely event that you have a problem or complaint during your holiday, please make the host or tour representative aware so that it can be resolved immediately. If you feel that this has not been dealt with to your satisfaction, please get in touch via email on your return and we will follow up.

Limitation of liability
Credit Card Fraud Protection
To ensure that your credit, debit or charge card is not being used without your consent, we will validate name, address and other personal information supplied by you during the order process against appropriate third party databases. By accepting these terms and conditions you consent to such checks being made. In performing these checks personal information provided by you may be disclosed to a registered Credit Reference Agency which may keep a record of that information. You can rest assured that this is done only to confirm your identity, that a credit check is not performed and that your credit rating will be unaffected. All information provided by you will be treated securely and strictly in accordance with the Data Protection Act 1998.

Booking confirmation
We will send a booking confirmation immediately by automated e-mail. Please check it carefully and contact us immediately if it is incorrect, as it may not be possible to make changes later.

Single supplement
We will wherever possible arrange for room sharing of the same sex where requested. If however, there are uneven numbers, you may be asked to pay the single supplement.

Overseas accommodation
Overseas accommodation is usually subject to a tourist tax which will be payable locally. Check in /checkout times vary by property but as a rule, please use this guide:
Check in: 3pm
Check out: 11am
Rooms may be kept on later, to be agreed with the property direct, for an extra charge.
